Castlepoint Systems has expanded its platform with new automated redaction capabilities, extending support across the information governance and eDiscovery lifecycle.
The capability automatically redacts PDF and Microsoft Office documents, replacing sensitive text with black blocks, highlighted spaces or stars. Where human judgement is required, documents can be flagged for manual review before redaction is applied.
The capability helps prepare information for disclosure while protecting sensitive content. It also reduces manual effort, improves consistency and lowers the risk of human error throughout the disclosure process.
What is redaction?
Before information can be disclosed, sensitive content often needs to be removed. This process is known as redaction.
Every redaction decision requires an understanding of privacy obligations, legal privilege, commercial sensitivity and the purpose of the disclosure. Redact too little and sensitive information may be exposed. Redact too much and information that should be disclosed may never be seen.
Redaction enables information to be disclosed while protecting personal information, commercially sensitive material and other content that must remain confidential.
Why is redaction important?
Freedom of Information (FOI) requests, court proceedings, audits, investigations and eDiscovery all rely on information being disclosed.
Every disclosure requires confidence that sensitive information has been identified and protected.
Personal information, commercially confidential material and security-related content often exist alongside information that should be disclosed. Every disclosure requires careful consideration of what can be shared and what is protected by privacy legislation, legal privilege, contractual obligations or commercial sensitivity.
Without effective redaction, there is a risk of disclosing more information than intended, exposing individuals and organisations to privacy breaches, legal disputes, regulatory action and reputational damage.
Consider a Freedom of Information request. An agency may be required to disclose a report while protecting the names of individuals, personal contact details or security-sensitive information. Redaction allows the document to be disclosed without exposing information that should remain confidential.
The risks of getting it wrong
It only takes one missed sentence to have significant consequences.
Failing to redact sensitive information may result in:
- Privacy breaches
- Regulatory penalties
- Legal disputes
- Reputational damage
- Loss of public trust
Manual redaction across hundreds or thousands of documents also increases the likelihood of human error. Large disclosure exercises place significant pressure on legal, records and governance teams, particularly where deadlines are tight.
Why manual redaction is no longer enough
A single investigation or FOI request may involve thousands of emails, reports, PDFs, Microsoft Office documents, spreadsheets and attachments.
Reviewing every page manually is time consuming, difficult to scale and leaves more opportunity for human error.
Automated redaction removes repetitive work by identifying and processing sensitive information consistently. Documents requiring judgement can still be flagged for manual review, allowing legal, governance and records professionals to focus on the decisions where their expertise matters most.
Redaction should be part of information governance
Castlepoint already identifies, classifies and understands information through metadata, records management and governance processes.
Extending those same insights into redaction means the capability becomes part of the wider information governance and eDiscovery workflow, rather than another standalone task.
Castlepoint's metadata, classification and search capabilities already provide the context needed to understand information. Applying those same insights to redaction creates a more consistent and defensible approach to disclosure while reducing manual effort.
The addition of automated redaction strengthens Castlepoint's support across the information governance and eDiscovery lifecycle, helping organisations prepare information for disclosure with greater efficiency, consistency and control.
The announcement follows Castlepoint's recent IRAP Protected assessment, further demonstrating the company's commitment to secure, transparent and auditable information governance for government and highly regulated industries.
Automated redaction is available immediately as part of the Castlepoint Systems platform.
